Terms & Conditions

Thank you for selecting VanTrips for your travel arrangements. Purchasing any travel services through us constitutes a binding agreement between you and VanTrips. By booking, you acknowledge and agree to these terms, which affect your legal rights. If you book for others, you confirm that you have the authority to accept these terms on their behalf. Please review and understand these terms before booking.

 

Payments, Fees & Changes:

Payment: All payments must be in Canadian currency. We accept Visa, MasterCard, and American Express. Using your card indicates agreement to our terms.

Cancellations: If you need to cancel, notify us in writing via letter, email, or fax. Cancellation notice is based on Canadian working days. Weekend days and holidays are not included in cancellation policies. An acknowledgment of cancellation will be sent upon receipt.

Currency: Credit card payments will be processed in the currency of the booking.

 

Prices:

Currency: All prices are in Canadian dollars (CA$). Taxes may apply unless stated otherwise.

Not Included: Unless specified in the proposal, travel services do not cover transportation to departure points, gratuities, meals, ferry tolls, National Park Fees, or personal items.

Changes: Prices and rates are subject to availability and may fluctuate due to factors like fuel charges or government regulations. We reserve the right to adjust prices without notice.

 

Cancellation by the Operator:

Options for Cancellation: If VanTrips cancels a tour for reasons other than Force Majeure and not due to your fault, you can choose:

  • A substitute tour of equal or better value,

  • A less expensive substitute tour with a refund of the price difference, or

  • A full refund of all payments made.

Guaranteed Departure: A scheduled coach tour becomes guaranteed when the minimum number of customers is secured with a deposit.

Departure Assurance: VanTrips guarantees all scheduled tour departures with a valid deposit, barring Force Majeure, subject to reasonable itinerary changes and safety concerns.

Information Availability: Up-to-date tour and itinerary details are available on our website or by contacting us directly.

Alternative Services: If a service offered by VanTrips but not operated by us is canceled by the supplier, we aim to provide a suitable alternative.

Incidental Expenses: VanTrips is not liable for any incidental or consequential expenses resulting from canceled travel services.

Alternative Arrangements: If a significant tour element cannot be provided after departure, VanTrips will try to make suitable alternative arrangements.

 

Media Policy:

Media captured during the trip, including by VanTrips or affiliates, is owned by VanTrips and may be used for promotional purposes.

Passengers consent to the use and disclosure of their personal information for promotional activities.

 

Responsibility:

Agency Role: VanTrips acts as an agent for suppliers in its programs. While suppliers are chosen carefully, VanTrips cannot be held liable for their actions or omissions.

Itinerary Changes: Safety is prioritized, and itinerary modifications may occur due to weather or road conditions. Clients may receive refunds for cost differences in modified itineraries. If a tour is canceled, clients may receive a full refund minus vendor payments. Clients are responsible for additional costs due to weather-related changes. Participation in activities is voluntary, and travel insurance is strongly recommended.

Acknowledgment of Risk: VanTrips acts solely as an agent for suppliers, and services are subject to supplier terms and conditions as well as those stated herein.

 

Force Majeure:

If VanTrips is unable to fulfill its obligations due to uncontrollable events beyond its reasonable control, such as war, strikes, or natural disasters, it will be relieved of its duties during the event.

VanTrips will not be liable for any delays or failures resulting from a Force Majeure Event, provided it gives written notice within 48 hours of the event's commencement.

 

Liability Release & Agreement not to sue:

By booking Travel Services with VanTrips, you and all participants waive claims and agree to defend, release, and indemnify VanTrips, its employees, and agents from any liability or damages arising from the services.

 

Risk Acknowledgment:

Traveling and participating in Travel Services carry inherent risks, including death, injury, property loss, delays, and additional costs. VanTrips, its employees, and agents are not liable for any such losses, regardless of cause, including negligence. If the Liability Release & Agreement Not to Sue is unenforceable, VanTrips' liability is limited to the total price of the Travel Services.

Claims:

VanTrips aims for customer satisfaction and requests immediate notification of any issues. Claims not covered by the Liability Release & Agreement Not to Sue must be submitted in writing within 30 days of service completion, with arbitration proceedings initiated within one year.

Insurance:

Participants are strongly advised to obtain medical and cancellation insurance.
